Vault first checks if a Vendor exists in your QuickBooks or Xero that matches the transaction’s Vendor name. If we can’t find an exact match, we automatically create a new Vendor and assign the correct currency to ensure proper record-keeping.
Since Vault supports multi-currency transactions, each Vendor record is linked to the corresponding currency to prevent discrepancies in your accounting software.
Example:
• If you make a purchase on Amazon Canada (CAD) and there is no existing “Amazon - CAD” Vendor in QuickBooks/Xero, we’ll automatically create “Amazon - CAD” for you.
• If you later spend on Amazon US (USD), we’ll create “Amazon - USD” as a separate Vendor.
Vault always attempts to match transactions with existing Vendors first. If no match is found, we use a logical naming structure that pairs the Vendor name with the transaction currency. This ensures seamless syncing with your accounting software.
